Office Policies
When signing on as a patient of Dr Arroyo, Dr Hilton, or Dr Li you must be aware of our office policies. Please see the link below to be directed to our full office policies letter. Some of the most important office policies are outlined below
COVID VACCINES AND ASSESSMENTS
We do not offer COVID-19 19 tests/ assessments or vaccinations in our office. Please visit https://covid-19.ontario.ca/assessment-centre-locations for assesment centre locations. APPOINTMENTS
Please only discuss ONE issue per appointment. The doctor only has 15 minutes total including face-to-face time, writing notes, and ordering scans/doing referrals for you. Squeezing in too many issues in an appointment is unsafe as it means the doctor cannot fully assess each problem and serious details may be missed. If you have multiple issues, please book for a double appointment or multiple shorter appointments.
NO SHOW POLICY
If you do not attend your scheduled phone or in office appointment, and do not call us to inform us that you cannot make it in advance of the appointment, you will be charged a $50 no show fee.
WAIT TIMES
Wait times will vary according to the urgency of the issue. We have same day appointments reserved each day for more urgent issues. Let our medical assistants know the reason you wish to book an appointment to help them determine the urgency.
FORMS/PAPERWORK
If you have forms/paperwork that need to be filled out, please note that your physician completes this paperwork outside of clinic hours in their free time. This service is typically not covered by OHIP. This means that you or your insurance company are required to provide direct payment to the office prior to forms being released. Wait times for forms may be as long as 4-6 weeks. It is your responsibility to submit paperwork to the office well in advance of the due date and book an appointment to discuss. Forms will not be completed until you have discussed them with a physician in a dedicated appointment and submitted payment. Forms cannot be added as a secondary issue to a regular appointment.
ZERO TOLERANCE POLICY
The patient-physician relationship can only function if there is mutual trust and respect. Office staff are an extension of the physician and as such, there will be zero tolerance for any form of abuse or harassment of the office staff and physicians. Abuse or harassment of any kind including racist or sexist comments on any occasion will result in immediate termination of your patient status at the office.
PRESCRIPTION RENEWALS
Each time you renew a medication at your pharmacy, check with the pharmacist or read the label on the new bottle to see how many repeats are left. If you are on your last repeat, ask the pharmacist to fax us a prescription renewal request. We will be happy to accommodate your prescription request within 14 business days of receiving the request. It is your responsibility to ensure renewal requests are submitted at least 14 days in advance.
If you follow this policy, you will not be charged for prescription renewals made without an appointment. If you forget to request your prescription on time and wish to call the office to request a more urgent refill, there will be a charge of $30. If we notice that you are due for an appointment to discuss the medication, you will receive only a short-term refill until we can get you booked in to discuss the medication further.
